Project Overview

Samiksha is an internal tool designed to streamline quarterly performance reviews across teams. The goal was to reduce manual workflows, ensure timely submissions, and improve visibility into performance progress at every level.

Problem Statement The existing review process was fragmented, dependent on spreadsheets and emails. This led to missed timelines, unclear expectations, and limited transparency. We needed to design a centralized, structured, and role-based system that made the quarterly review process clearer, faster, and more accountable.

User Roles & Responsibilities

We identified three core user roles to define user flows: Employees – Submit quarterly self-reviews Managers – Review, comment, and approve team reviews HR/Admins – Oversee cycles, track completion, and manage review stages Each role had a dedicated dashboard and permissions tailored to their tasks.

Key Modules Designed : Dashboard – Personalized overview for review progress and pending actions Self-Review Form – Easy-to-fill, structured form aligned with KRAs Manager Review – Section to comment, rate, and give feedback Cycle Management – Admin panel to create, edit, and monitor review cycles These modules were designed with a consistent layout, using visual hierarchy to guide attention.

Process & Design Flow

Understanding the problem We spoke with employees, managers, and HR. Everyone struggled with scattered reviews, lost emails, and unclear deadlines. Mapping the journey We created simple flows for each role — like how a manager would review and approve forms for 5–6 teammates. Wireframing ideas Sketched basic screens like dashboards and review forms. Focus was on making actions obvious — like “Submit Review” or “Pending Approvals.” High-fidelity design Used clean layouts, role-based views, and visual cues (e.g., progress bars for review completion). Testing & feedback Shared clickable designs internally. Based on feedback, we added the custom question feature for managers — they wanted more flexibility in feedback.

Outcome

Reviews got done 30% faster — thanks to clear dashboards and reminders. HR didn’t have to chase people anymore — the system tracked progress automatically. Managers gave more meaningful feedback using the custom question option. Employees felt seen — reviews were tailored, not just copy-paste templates. The whole process became smoother, clearer, and less stressful for everyone.
